How ProTech Structures Commercial Contracts

The national pest chains love long annual contracts with auto-renewal language buried on page three. We do not operate that way. ProTech commercial agreements are month-to-month by default — you stay because the service is good, not because a cancellation clause makes leaving expensive. The agreement defines scope, cadence, pricing, and documentation standards in plain English, and either side can renegotiate or cancel with reasonable notice. That flexibility matters when your business changes, your compliance pressure changes, or you simply want to pilot us against your current vendor.

That said, we do offer longer-term structures when they make sense for the client — typically multi-location portfolio programs and enterprise compliance contracts where standardized pricing and service levels across sites justify a committed term. Even then, the commitment is mutual and the language is transparent. The goal is always the same: the contract should reflect the actual work, document the actual standards, and give both sides a clear picture of what is being delivered every single month.

Do you require an annual contract?+
No — and we will not start now. Every ProTech commercial agreement begins month-to-month. You stay because the service is delivering value, not because a cancellation penalty makes leaving painful. This is how we prefer to do business, and it is how we think pest control should work across the industry. If you want to formalize a longer term for pricing reasons or because corporate procurement requires it, we can do that — but it is your choice, not a condition of service.
How is pricing determined?+
Pricing is built from actual facility characteristics — square footage, pest-pressure risk, service cadence, documentation requirements, and the specific scope of work. We do not use a one-size-fits-all rate card. After a site walkthrough we give you a written proposal with line-item clarity on what is included, what is out of scope, and what triggers additional pricing. No vague "we will handle it" language, no surprise fees, no fuel surcharges added six months in.
Can we change service frequency later?+
Yes, and clients do it regularly. A warehouse that starts on bi-monthly service might move to monthly during peak rodent pressure in fall, then back. A restaurant might add weekly visits in summer. A multifamily portfolio might adjust unit-treatment cadence by property. Month-to-month structure means these changes are simple — a conversation with your account manager and an updated service ticket, not a contract amendment or a renegotiation cycle.
How do multi-location agreements work?+
Our Multi-Location Portfolio Program is designed for operators with three or more Indy-metro sites. You get standardized service levels, unified pricing, a dedicated account manager, and a single reporting dashboard across all locations. Adding or removing sites takes an email — no amendments, no re-papering. Invoicing can be consolidated or site-level depending on how your accounting team prefers to handle it. Most multi-location clients see better pricing than they had with a national chain.
What happens if service is not meeting expectations?+
You call your account manager and we fix it. That is the short answer. The longer answer is that our agreements include a service standards clause that lets either side flag issues and triggers a documented corrective plan. If it cannot be resolved, the month-to-month structure means you are never stuck. In practice we very rarely lose clients to service issues, because owner-operated means problems escalate directly to someone who cares about the outcome.
Do you subcontract any work?+
No. Every service visit is performed by a W-2 ProTech employee — no franchisees, no contractors, no gig-economy field workers. This matters for consistency, for compliance documentation, and for auditor credibility. When a third-party auditor asks your technician a question about the IPM program, they need to get a knowledgeable answer from someone who has been on your facility before — not a different face every month who is reading the log for the first time.
Can we transition mid-year from another vendor?+
Absolutely — mid-year transitions are common. We handle the overlap professionally: review your existing documentation, walk the facility with you before takeover, install our own monitoring devices on day one, and maintain continuity of the pest log so auditors see an unbroken record. Most clients transition during a natural service cycle (end of month, between audits) and our onboarding process is designed to make the handoff invisible to your operations team.
